Vacation rental With Smoobu

Invoicing what you book through Smoobu, in Costa Rica.

Smoobu connects directly to Ticuenta, and that changes everything: bookings arrive with their guest, their nights and their amount. Each one produces its invoice with the VAT already worked out, without you typing a single figure.

The app is in Spanish. Costa Rican electronic invoices are filed in Spanish — that part is set by the tax authority. The screens are in Spanish too, for now. These guides are in English.

What it solves

A channel manager brings in bookings from sites that settle differently. That is the real problem for someone using Smoobu, and it is one you do not have if you list on a single site: the same night is charged differently depending on where it came from.

  • Each channel labels the tax its own way

    One hands you the price with the tax inside and another shows it separately, and they do not even call it the same thing: Airbnb hides it inside “Other Fees”. If you work the tax backwards where you should have added it, or the other way round, every stay from that channel is declared wrong.

  • Conditions saved per channel

    The sale condition, the payment terms, the payment method and who the invoice goes to are set once per channel and apply to every booking that comes in through it. Nothing to remember on each invoice.

  • The amount arrives — you do not copy it

    This is the fundamental difference from listing directly on Airbnb: there the calendar tells you a stay exists but brings no money with it. With Smoobu the figure comes in the booking and the invoice is built from it.

Getting it running

Connecting it is three things.

  • Paste your Smoobu key and say from which day

    The one Smoobu gives you for connecting other software. And a single question: from what date do you want Ticuenta to invoice your bookings? Anything before that day was already invoiced with whatever you used before, so it is neither imported nor offered again.

  • Say how each channel invoices

    Airbnb, Booking, direct bookings. For each one: whether the price carries the tax inside, the sale condition, and who the invoice goes to. Done once.

  • Review and issue

    The list shows only what is still to be invoiced. You look at it and issue — one by one or all at once.

What comes with it

  • The purchase invoices for the commissions, built from the monthly file each platform publishes — the document almost nobody issues.
  • The monthly figures per property, for the VAT return and the rental income return.
  • The remittance tax on the platform commissions, worked out for the month.

Smoobu and the direct Airbnb connection are mutually exclusive. If Smoobu already brings in your Airbnb bookings, connecting Airbnb separately would invoice the same night twice. Pick one. The direct Airbnb connection.
